Privacy Policy

This policy explains how we process personal information of educators, school representatives and visitors in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect

  • Educators: name, contact details, location, CV, photo, qualifications, SACE number and status, police clearance (PCC) status, NRSO declaration, first-aid status, teaching phases, subjects, curriculum experience and availability.
  • Schools: school name, contact person, email, phone, vacancy details and payment references.
  • Technical: essential session cookies and basic usage events.

PCC and NRSO details are criminal-behaviour information (POPIA s26). We process them only with your consent and because the Children's Act 38 of 2005 and the Criminal Law (Sexual Offences) Amendment Act 32 of 2007 require employers of educators to screen for child-protection risks (s27(1)(a) and (b)).

The 8 conditions for lawful processing

1. Accountability (s8). MatchLogic Recruitment Services (Pty) Ltd is the responsible party and our Information Officer oversees compliance.

2. Processing limitation (s9–12). We collect only what is needed for educator recruitment, with your consent at signup or to perform the service you asked for. You may withdraw consent or object at any time.

3. Purpose specification (s13–14). Information is used to match educators to school vacancies, verify compliance, process payments and communicate with you. Records are kept while your account is active and deleted on request, except where law requires retention (e.g. tax records for 5 years).

4. Further processing limitation (s15). We do not use your information for unrelated purposes or sell it.

5. Information quality (s16). You can update your profile, CV and compliance details at any time in your dashboard.

6. Openness (s17–18). This policy and our PAIA Manual describe what we hold and why.

7. Security safeguards (s19–22). Data is stored encrypted on access-controlled infrastructure with row-level security; documents are in private storage released only through short-lived links. Contact details remain masked until a school pays and our team approves. We will notify you and the Information Regulator of any compromise.

8. Data subject participation (s23–25). Download all your data as JSON or permanently delete your account from your profile page, or email our Information Officer.

Who sees your information

  • Schools see anonymised match scores; full contact details and documents only after an approved candidate-pool unlock for a specific vacancy.
  • Operators: secure hosting and database providers, PayFast (payments), and our email delivery provider — all bound by confidentiality. Some may store data outside South Africa under adequate protection (s72).
